Invoice Template & Instructions (by Kirste Jade)

Need to submit an invoice for the first time?

We got you.

Follow our handy invoice template and instructions here:

This is a Google-doc that you can download/copy/edit to create your first invoice.

Here is a (slightly silly) completed example from Alysha:

Please remember that we are not tax accountants or ATO specialists. This information is just provided as a helpful resource to get you started.

Some other important things to be aware of when creating and submitting your invoice/s:

  • If you do NOT have an ABN, you need to complete and submit a Statement by a Supplier form along with your invoice. You are the supplier, and you have “supplied” (a service or product) to the person or company who is paying you. If you have an ABN, you do not need to need to complete this step, just list your ABN on your invoice and submit.
  • If you are NOT registered for GST, your invoice needs to clearly state “Invoice” and that no GST have been charged, if you are registered for GST, it needs to clearly state “Tax Invoice” and you must clearly state the GST amount payable.
  • Any money you receive from invoicing is part of your taxable income and must be declared when you do your tax at the end of the year. Depending on your other income and individual circumstances, you may be liable to pay some in tax so keep a little aside in your bank account to be safe.
  • Rules about superannuation have changed and not all businesses/organisations have caught up with the changes. If you have supplied a service and are submitting an invoice, you are likely to be entitled to superannuation as a sub-contractor. Submit your super details too and keep advocating for yourself and others to be paid the correct super. You can usually download a super choice form directly from your superannuation fund with most of the details pre-filled or grab a super choice form from the ATO.

The wonderful folk at Auspicious Arts also have some invoice templates and other handy resources here. If you need some help figuring our what to charge, Alysha has some tips in her grantwriting resource (also in the Part of Things Knowledge Hub)

And if fairy wings don’t sprout from her back, or if fire doesn’t spark from her palms someday soon she’ll face her destiny as a Capricorn villain.
